Recording & Setup
How do I change how my notes are formatted?
Go to Settings and write instructions in plain language, as you would to a human scribe. You can save multiple instruction sets for different scenarios, and two defaults are included to get you started.
What microphone should I use?
Any USB-powered omnidirectional microphone works well, or record on your iPhone via novascribe.us/m. Use the "Test Mic" button to verify your audio before recording.
Can I record on my phone?
Yes! Visit novascribe.us/m on your phone to record. Your note will appear in your desktop browser at novascribe.us - copy it from there into your EHR.
What is Character Limit for?
It controls max note length. Set it to match your EHR's text field limit (Epic ~4000, Cerner ~8000).
Working with Notes
How do I use the Regenerate button?
Click Regenerate to create a new version of your note using the same transcript. Useful if you want a different style or if you changed your instruction set in Settings.
What is Evidence Mode?
Evidence Mode shows exactly where each sentence in your note came from in the transcript. Click "Show Evidence" after a note is generated, then hover over any sentence to see the highlighted transcript source. This helps verify accuracy and builds medicolegal confidence.
What if I work at multiple locations with different EHRs?
That's exactly where NovaScribe shines. Whether you're at the hospital (Epic), outpatient clinic (Cerner), urgent care (athenahealth), or telemedicine platform—NovaScribe works identically in all of them. One tool, any destination.
Billing Features
What are CPT codes and how do I use them?
CPT codes identify billable services. NovaScribe analyzes your conversation to suggest codes for counseling, time-based services, and procedures discussed. Click "Insert" next to any code to add supporting documentation to your note. Yellow-highlighted codes need additional documentation before billing.
What does wRVU mean?
wRVU (work Relative Value Units) measures the physician work for each CPT code. Higher wRVU = higher reimbursement. NovaScribe shows wRVU for each suggested code so you can prioritize documentation for high-value services.
Why are some CPT codes highlighted yellow?
Yellow highlighting means the documentation in your note may not fully support billing that code. The status column shows a warning icon with details. Review your transcript to confirm the service was discussed and add supporting documentation before submitting for billing.
What are ICD-10 codes?
ICD-10 codes identify patient diagnoses. NovaScribe extracts diagnosis codes from your conversation and shows them with supporting evidence. Click "Copy All" to copy codes for your EHR, or "Copy for Epic" for Epic-specific format.
What does "needs review" mean on diagnosis codes?
Yellow-highlighted codes with "needs review" may lack specificity required for billing. Common issues include missing laterality (left/right) or insufficient documentation. Click an alternative code if a more specific option applies.

What is the Orders and Medication Changes panel?
This panel extracts all medication changes, new prescriptions, and orders discussed during the visit. The badges show counts (NEW = new prescriptions, CHANGE = dose adjustments, STOP = discontinuations). Use it as a checklist when entering orders in your EHR.
What are Patient Instructions?
Patient Instructions generates a plain-language handout summarizing follow-up appointments, medication changes, lifestyle recommendations, and warning signs discussed during the visit. Click "Copy Instructions" to print or give to the patient at checkout.
Can I edit the Patient Instructions?
The Patient Instructions are read-only in the panel, but you can copy them to a text editor and modify before printing.
Collaboration & EHR
How do I see my colleagues' notes in the initials dropdown?
Go to Settings > Collaborating Providers and add their username. They must also add you in their settings. Once both users have added each other, you'll see their notes in the initials dropdown list.
Do you integrate directly with my EHR?
NovaScribe takes a deliberately EHR-agnostic approach. This means it works instantly with any EHR—Epic, Cerner, athenahealth, MEDITECH, or any other system—with no IT approval or 8-12 month implementation required.
Isn't copy/paste slower than auto-insertion?
The copy/paste action takes about 3 seconds. Auto-insertion could save most of that 3 seconds, but increases cost and adds a potential point of failure with each EHR update. More importantly, copy/paste gives you a checkpoint to review the note before it becomes part of the legal record.
